What we collect and why

Customers: name, email, phone, property address, access instructions and booking details, to deliver the clean and take payment (contract). Card payments are processed by Stripe; we never see or store card numbers.

Cleaners and applicants: name, phone, home postcode, Telegram account, application answers, ID and right-to-work check outcome, DBS certificate number, job history and job photos, to vet, schedule and pay you (contract and legal obligation).

Messages: emails, website messages and Telegram messages, to answer you and keep a record of what was agreed (legitimate interest).

Our AI booking assistant

Messages and job photos are processed by an AI service (Anthropic) to draft replies and check cleaning photos against our checklist. Anthropic acts as our processor under its commercial terms, which do not allow it to train its models on this data. A person () makes any decision about refunds, disputes or a cleaner's work with us.

Who we share it with

Your assigned cleaner (address and access notes only), Stripe (payments), our email and hosting providers, Telegram (cleaner messages) and Anthropic (as above). We never sell your data.

How long we keep it

Booking and payment records: 6 years (tax law), then deleted. Key and access instructions: deleted 7 days after the clean. Job photos: 6 months. Unsuccessful applications: 6 months. Right-to-work share codes: deleted once checked, and always within 30 days. Messages: 2 years. Deletion happens automatically every night.

For cleaners we only record the first part of your home postcode (for example DN4), to offer you jobs nearby.

Your rights

You can ask for a copy of your data, ask us to correct or delete it, or object to how we use it, by emailing hello@keybackcleaning.co.uk. You can also complain to the Information Commissioner's Office at ico.org.uk.
